  • To book your date, we require a 50% non-refundable deposit. A second deposit of 50% is due one month before the wedding, along with the final guest count, final event details, and a $5,000 damage deposit which will be returned within 7 days past the event minus any damage that might have occurred during the event.

  • Tent set-up and load-in can take place the day before the event, and breakdown and load-out must be complete by the end of the day following the last event. Earlier set-up will require an additional fee. Amplified music and events must end by 11PM. Vendors need to depart by midnight at the latest.

  • Each event will be staffed with a parking attendant(s) and a property event manager who will be onsite from load-in to breakdown to provide assistance with anything that is property related. The role of the property manager is to provide assistance with anything property related and to ensure the safety of the property, the clients and their guests. This includes making sure that vendors and guests follow property policies. The property manager is not a wedding planner or coordinator. We require you to hire a wedding coordinator to orchestrate the events.

  • Sassafras provides couples with a list or recommended vendors and a Google wedding planning workbook. Sassafras highly recommends that clients hire a full-service wedding planner and requires clients to hire a wedding coordinator to orchestrate all of the events. In the event that a client cannot or does not hire a full-service wedding planner and needs some assistance, Team Sassafras is able to assist with procuring necessary products and/or purveyors for 15% of the cost of the requested services and items. Planning fees will be added to the final invoice and if necessary after the event if something is needed within the last 30 days.

  • One planning meeting and one team production meeting of up to 3 hours is included in the rental package. We recommend that the planning meeting include the rental company, the lighting and floral designers, and the caterer. The production meeting (which normally takes place close to the wedding) includes the same plus any other vendors that need to see the property in person before the event. Note, if these meetings are taking place during peak wedding season (Memorial Day to Columbus Day) they will have to take place mid-week so they do not interfere with other buyouts.

  • All events require professional, insured, off-premise catering. Caterers will be required to provide a certificate of insurance before working at Sassafras. Sassafras will provide the electricity and water to cater an event. Caterers will have to provide all necessary tenting and kitchen equipment to cater the event. The property provides a dumpster and recycle bin. It is the responsibility of the caterer to deposit the garbage and recyclables in the bins. Catering staff must also properly break down and store rentals according to the rental company guidelines.

  • Sassafras provides the venue, water, electricity, basic lighting, standard port-o-lets, wooden tables and chairs for a party of 220. Any tenting or additional tables, chairs, linens, lighting, and tableware will have to be rented at an additional cost. Sassafras will provide a list of recommended tent and party rental companies to clients once they book their wedding.

  • Candles are not allowed in any of the buildings but can be used in the outdoor venues. Biodegradable confetti is allowed outside. There is an extra cleaning fee for glitter. Sparklers and smoke machines can be used outside. Flame lanterns are not allowed. Nails are not allowed in the barn. Adhesives must be approved by management.

  • Sassafras will provide a list of recommended vendors. If the client wishes to hire vendors that are not on the list, they must provide proof of insurance. We require that the client provide us with a list of vendors a month before the wedding so that we can send them the vendor guidelines.

  • Sassafras provides basic lighting along the paths and at the venues, as well as Wi-Fi in all of the building venues. Sassafras does not provide any in-house A/V, so all sound equipment, including microphones, have to be coordinated through the client’s band or DJ. If additional equipment is needed, Sassafras can recommend a local A/V company who can assist.

  • All alcohol service for events requires a New York State Liquor Authority permit. Any caterer with a liquor license can obtain this permit. In the event a client hires a Massachusetts-based caterer, they will have to purchase the alcohol themselves. In this scenario, it is recommended to hire TIPS-certified bartenders. Serving shots is highly discouraged.
